When Profix decided to prioritise online sales and migrate its stores from PrestaShop to Shopify, it quickly became clear that its existing PIM system and data model could no longer keep up with the company's ambitions. Together with the STRIX agency, Profix implemented Ergonode and built a structured, repeatable product data management process that supports its expansion into new markets.

About the Client

Profix is one of Poland's leading distributors of hand tools, power tools, workwear and PPE accessories, with over 30 years of experience in the Polish market. The Profix Group comprises 11 companies, including three in Poland and eight across Central and Eastern Europe, with a portfolio of 20,000 products. The company has six proprietary brands, including PROLINE, one of Poland's best-known hand tools brands, and Lahti Pro, an award-winning workwear brand.

Introduction

In the tools and workwear industry, customers increasingly make purchasing decisions before they have even seen a product in person. They compare specifications, read product descriptions and expect complete information wherever they come across an offer. With such an extensive product range and Profix's sales model, product data must meet customer needs from the moment they start browsing. Customers want to find all the information they need quickly, compare products independently and make purchasing decisions without having to repeatedly ask for additional details.

Łukasz Kwiatkowski, E-commerce Manager at Profix, puts it simply:

"Customers no longer make purchasing decisions based on appearance alone. They want to know much more about a product. They want to know its specifications and have a detailed description. Without a good PIM system, we simply cannot provide customers with this information."

This understanding was at the heart of the decision Profix made as part of its strategic shift. Online sales were set to become one of the company's priorities, with product data serving as their foundation.

The Challenge

Profix was not starting from scratch. The company had been using a PIM system for many years, which it had originally implemented in-house. The turning point came with a change in strategy and the decision to make e-commerce sales a higher priority. Joanna Woźniak, Marketing Director at Profix and the person responsible for the PIM system within the company, recalls:

"The turning point was a change in the company's strategy and the decision to make e-commerce sales a higher priority. At that point, we realised that our old PIM system and data model would no longer be sufficient and would become a bottleneck."

The immediate trigger was the planned migration of the online stores from PrestaShop to Shopify. The new platform and additional sales channels brought significantly broader and more complex data requirements that the existing system could no longer meet. The Profix team identified several key limitations:

  • Limited flexibility: the company needed a data model that could be scaled quickly and adapted to different sales channels and markets.
  • Insufficient data structure: the old PIM offered a limited number of attributes. In Ergonode, the data model is much more comprehensive. Each product now includes more than 200 fields, excluding technical specifications.
  • Difficult-to-use system: the complicated interface meant that only a limited number of employees could navigate the system efficiently.
  • Fragmented information sources: product data came from the ERP system and the previous PIM, but much of the information remained scattered across Excel spreadsheets, email correspondence and the knowledge held by brand managers.

Why Profix Needed a PIM

The goal was not simply to replace an old tool with a newer one. The company needed a foundation for the growth of its online sales: a system that would organise product data today without becoming a limitation tomorrow. Joanna Woźniak explains:

"When choosing a new PIM system, our main goal was to build a database that would serve as the central source of product information, be scalable, enable process automation, be ready for AI and, at the same time, allow users to work in a convenient and straightforward way."

This vision translated into four key project objectives:

  1. A single source of truth: creating a central product information database for all teams and sales channels.
  2. Scalability: preparing the system to support additional channels and markets, as well as a growing product catalogue. This is particularly important as more companies are expected to join the system, bringing tens of thousands of additional products.
  3. Automation and AI readiness: reducing manual work and preparing product data for new ways of reaching customers.
  4. Ease of use: providing an intuitive system that a wider team can use efficiently.

The Solution

Profix chose Ergonode for its modern interface and user-friendly experience. However, scalability was the most important deciding factor.

While the company had implemented its previous PIM system in-house, this time it decided to work with the STRIX agency. As part of the project, Profix also migrated its online sales operations from PrestaShop to Shopify. Ergonode now provides structured product data to two of the company's online stores, Lahti Pro and Narzędzia Non Stop, which form part of a broader sales ecosystem that also includes a B2B platform and eight marketplaces.

‍

Results

  • A structured and repeatable process: workflows, validations and mandatory fields guide users through the product publishing process step by step, reducing errors caused by manual work.
  • Richer product data: the previous system offered only a limited number of attributes, whereas Ergonode provides many more. "This is the advantage that currently gives us a significant qualitative edge over the competition," says Łukasz Kwiatkowski.
  • Positive sales signals: the Lahti Pro store, the first to be powered by Ergonode and Shopify, launched in April 2026. From the very first days, the team observed an increase in orders, including those coming from social media and AI channels, which they attribute to better-structured product data.
  • Readiness for expansion: the combination of Ergonode and Shopify enables Profix to launch sales in new markets quickly.

Conclusion

The Profix story shows that replacing a PIM system is first and foremost a business decision. The previous system could no longer keep up with the company's new e-commerce strategy. With Ergonode, its Shopify integration and support from the STRIX agency, Profix has built a scalable data architecture. This makes it easier to enter new markets, prepares the company to integrate additional businesses and helps it meet customers' growing expectations for product information.
